Supporting a Global Update of a Large Regional Healthcare System's Technical Assets

TEKsystems helps prominent healthcare organization complete a technology update to meet HIPAA guidelines.

The client is one of the Mid-Atlantic region’s largest nonprofit medical conglomerates, with a team of more than 25,000 employees and 5,000 affiliated physicians. The merger of two industry leaders fueled the growth of the company, forming a $3.5 billion comprehensive healthcare system with a strong commitment to academics and community involvement. Its network includes eight hospitals, a managed care organization, a research facility, a home health agency, a pharmacy company, a primary care and specialty physician entity and a rehabilitation network. The client provides care for more than 1.5 million outpatient visits, 158,000 hospital admissions and 208,000 home healthcare visits each year. TEKsystems has partnered with the client since 2004.

The client has more than 150 years in the healthcare industry and in recent years has experienced tremendous growth via various mergers and acquisitions. These consolidations of the merged and acquired entities have contributed to a largely diversified technology infrastructure within the organization. After a major corporate reorganization and service consolidation, the client sought to streamline its business operations. In order to integrate and update its diverse array of software and hardware systems, as well as work toward meeting HIPAA technology guidelines, the client planned an initiative to implement a global update of all technical assets.

To ensure minimal disruption to its day-to-day operations, the client decided on a multi-year technology refresh. The client decided to utilize a staffing and services provider capable of developing a four-year approach to project execution. All technicians on this project would need to be experienced in basic PC hardware, desktop applications, Microsoft Windows XP and Microsoft Outlook. TEKsystems was selected by this client because of our ability to meet the requirements and our reputation for deploying technically qualified consultants who also possess good customer service and interpersonal skills.

We worked with the client to develop a pilot deployment comprised of 10 client locations. We then deployed 10 technicians to execute the software / hardware refresh and used this as an opportunity to review and validate the project’s milestones, modify processes and develop best practices for managing site logistics. During this time, we were able to confirm project and resource requirements, technical scripts and technician checklists. TEKsystems’ project manager then worked with the client to coordinate and finalize the rollout schedule. The following fall, a TEKsystems team comprised of PC technicians, a technical project manager and a project scheduler began the first year’s technology refresh.

During the course of this project, approximately 3,000 desktops over 12 weeks each year would be updated, bringing the total after four years to more than 12,000 systems in 136 locations. This ongoing project now includes more than 31 TEKsystems consultants to assist the client’s Active Directory migration group, help desk group, desktop support group and clinical training group.

The TEKsystems team successfully completed the initial phase and the project is currently operating on time and within budget. The flexible staffing model that we utilize allows for quick scheduling changes and enables us to adjust to continue meeting all client expectations. Additionally, TEKsystems deployed on-site clinical application trainers to help ease the client’s transition to the new technology. In lieu of the standard classroom setting, training is performed in a more casual manner with “floating” trainers stationed on site to answer end-user questions, give impromptu tutorials and otherwise create a comfortable and convenient learning environment.

As a result of this engagement, the client has been able to ensure the project’s success, while maintaining focus on its day-to-day operations and other mission-critical IT initiatives. In fact, the client is well ahead of schedule in meeting the HIPAA Electronic Medical Records (EMR) deadline of October 2012.
