Our customer’s Japan network data security function was responsible for safeguarding more than 45,000 users across group and insurance entities, while enforcing rules set by the US-based information security office. The operating model required close coordination between Japan and US teams; however, English-language communication gaps slowed escalations and limited the efficiency of cross-border issue resolution.
Furthermore, operational knowledge was fragmented across personal OneNote notebooks, creating inconsistent handovers, inefficient onboarding and unnecessary dependency on engineering teams for repeat queries. Without a centralised knowledge base, data security, networking and help desk teams had limited access to reliable, standardised guidance.
Post-maintenance website validation also created significant operational burden. Testing across proxies, business unit accounts and target destinations required manual logins, cache clearing, website checks and result recording, often taking 30–60 minutes per change. Policy enforcement around translation tools also needed strengthening, as unsanctioned external tools exposed live data to risk and had to be redirected to the approved internal Microsoft translation service.
